Wedding Planning for Guests

Wedding Planning for Guests – out of town wedding guests

Often it is just little thoughtful things that make occasions a pleasure and successful. We hope you find this article thought provoking and helpful.

Wedding Planning for Guests – accommodation

Historically, in some countries, it was unusual for there to be many wedding guests from out of town. With social changes the number of out of town guests attending weddings has increased considerably. Years ago, young people grew up and got married in the area where they had lived all their lives but nowadays couples are attending out of state colleges and universities and taking on employment far away from their hometown.

This movement leads to more and more out of town guests attending weddings as the couples now have friends from their hometown, friends from college and university and friends from the new area where they live and work. Wherever the couple chooses to get married there are bound to be a number of guests who are traveling from out of state for the occasion. As the presence of out of town guests is a relatively new phenomenon, there are not many established traditions regarding out of town guests and the couple has some leeway to deal with the situation as they see fit.

Wedding Planning for Guests – Hotels – block bookings

Many hotels will offer a discounted rate if you reserve a certain number of rooms. For this reason it has now become commonplace for couples to reserve blocksHotel-200-124 of rooms at a nearby hotel to the wedding location for their out of town guests. Knowing that they are able to rely on a certain number of guests it is possible to negotiate a special room price with the hotel because the hotel will anticipate generating more business from the hotel bar and evening meals.

This gesture will be appreciated by the guests because they will be benefiting from a lower room rate than they would have been charged if they booked direct. They will also be spared the trouble and inconvenience of trying to find a hotel in an unfamiliar city or town.

Whilst it should be seen as an honor to be invited to a wedding it may involve significant cost in terms of travel and accommodation and possibly changing other arrangements.

Wedding Planning for Guests – wedding & vacation trip

One way to compensate for this is to combine the wedding with a vacation. The couple can facilitate this by preparing a package featuring brochures and information showing points of interest and other attractions in their city or town and mailing this package to all invited out of town guests a few weeks before the wedding day. This offers them a good starting point in their research by highlighting some of the tourist attractions in the area. You could also include a listing of local restaurants and personal recommendations for your guests.

Wedding Planning for Guests – show your appreciation

You may wish to express your appreciation that they have made a special effort to attend your wedding.  Once you know where they will be staying prepare a welcome bag for your guests and drop them off at the hotel requesting the staff to give them to your guests when they arrive. As your guest are likely to be tired from their trip, some suggestions for items to include in these welcome bags may include a light snack featuring any local specialties and spoil them with relaxation items such as bath salts and candles. This small gesture really lets your guests know that their presence is appreciated.

Wedding Planning for Guests- make your guests feel welcome

Another option to consider if you are contemplating a rehearsal dinner is to include your out of town guests. This is a lovely gesture because it sends the message that you are glad that they have traveled to attend your wedding and that you are interested in spending additional time with them. If this is not feasible, for whatever reason, you may consider spending some additional time with them by inviting them over for drinks and hors devours. However, be careful that you are not seen as treating some guests better than others. If you feel this may happen then an alternative would be to ensure that you spend a little quality time with them at the reception. Although the reception will be hectic and virtually fly by a little time spent on the day with the bride and groom will be appreciated by the out of town guests.

We hope that some of the ideas in this article may be of use to you.
